J-1 Scholar Exchange Visitor Program Overview

 

Questions to ask before submitting a request:

  1. Has the scholar previously been in the U.S. in J-1 or J-2 status?
  2. Is the scholar currently in the U.S. as an exchange visitor at another institution?
  3. Is the scholar currently in the U.S. in another visa status, other than J-1?

If the answer is YES to any of the questions above, contact isss@ucdenver.edu prior to initiating the J-1 Request for Form DS-2019.

Use these instructions for:

  • A prospective employee who has at least a bachelor’s degree;
  • A prospective employee who will come to U.S. from abroad; or
  • A current employee or student in another immigration status who will become J-1; or
  • A prospective employee who is in the U.S. as a J-1 scholar and will transfer their J-1 sponsorship from another J-1 program sponsor to the University of Colorado Denver | Anschutz Medical Campus.

* J-1 lengths of stay do not replace university policy on appointment time limits. See:

  • Equal Pay for Equal Work Act Posting Guidance for Visiting Faculty Appointments
    • Maximum appointment of 9 months (Denver) or one year (Anschutz)and where conversion to a regular appointment is not expected.
    • When visiting positions are posted, appointment is limited to 2 academic years (Denver) and 2 years (Anschutz).
  • Anschutz Policy for Research Postdoctoral Fellows/Trainees
    • Maximum of five years of postdoctoral experience
    • Petition the dean of the school/college in which the faculty member has their primary appointment for an extension

Steps to request Form DS-2019 for a new J-1 Scholar - Employee

Step One

  • Collect information about appointment using worksheet below
  • Obtain signatures on Letter of Offer and New J-1 Faculty Sponsor Agreement
  • Collect proof of English Language Proficiency

Step Two

  • Complete Export Control

Step Three

  • Complete J-1 Request for Form DS-2019 at least 2-3 months in advance of proposed start date for a new scholar and at least one month in advance for a transfer-in scholar

Step Four

  • New Scholar: Within 10 business days ISSS issues Form DS-2019 and emails it to the prospective scholar and copies the HRBP
  • Transfer-in Scholar: ISSS issues Form DS-2019 after the transfer date, emails it to the scholar and copies the HRBP

Step Five

  • Scholar applies for visa (J-1 transfer scholars, and Canadian and Bermudan citizens exempt)
  • Scholar makes travel arrangements and arrives at the university

Steps to request an updated Form DS-2019 for a J-1 Scholar

Step One

  • Determine new dates of employment or visit

Step Two

  • Obtain signatures on addendum to LOO if employee*
  • Obtain signatures on updated LOI if non-employee*

Step Three

  • Complete Update Start and End Dates Request and submit to ISSS

Step Four

  • Within 10 business days of receiving a complete request, ISSS issues Form DS-2019, emails it to the scholar and copies the HRBP

*The LOO addendum or updated LOI facilitate visa issuance and entry to the U.S.
