UWS has the capacity to create or redesign one design theme per semester at no cost to the unit for a total of three themes per year. Design themes can also be created and/or redesigned outside the one-theme-per-semester cycle using non-university vendors; however, the project must be funded by the requesting unit.
All design theme creation and/or redesign development, including project management, vendor interaction, creative direction, and coding, must be managed by UWS in order to comply with university brand guidelines and system continuity practices. Failure to adhere to these requirements may result in the website’s removal from university servers.
As an element of project management, UWS will adhere to a standard theme creation/redesign project schedule with detailed information about the hours, tasks, meetings, and deliverables required to complete the project. UWS must strictly manage to the standard schedule to ensure the project is completed on time and within budget for the semester in which the theme development is allotted.
Delays, special requests, and/or other circumstances driven from the theme owner, school, college or unit that impose risks to the project schedule will result in UWS terminating the project.
Units with approved design themes are eligible for a redesign every 5 years at no cost to the unit, provided there are 15 approved themes and UWS has capacity to manage 3 themes per year.
UWS will establish relationships with approved outside vendors to help with the creation and redesign of themes within the ucdenver.edu website. University Web Services will be responsible for managing the project, including project schedule, creative direction and vendor interaction, to ensure the same degree of service and integrity as design themes created/redesigned in-house.
Projects will be managed using the same project schedule, with the same goals, producing the same deliverables as if it were done in-house, ensuring the design theme can be effectively managed in the university content management system post-production.
UWS will not work with any design resources that the web theme owner, school, college, or unit has employed, contracted, or already engaged. UWS is responsible for employing or contracting approved vendors, which meet pre-established production criteria to ensure smooth implementation and management within the ucdenver.edu website.
In order to support and maintain the visual integrity of any design theme supported by the SLA, UWS retains final creative decision-making authority, but will work with the theme owner, school, college, and/or unit to ensure the vision for the site is effectively incorporated into the design theme.
Design theme creation and/or redesign projects can also be completed through use of non-university vendors managed by UWS for a fee. Situations that necessitate use of non-university vendors include the following:
- The design theme must be created/redesigned and implemented sooner than the current UWS design theme project schedule allows.
- During the Design Theme Request process, UWS determines that the project will take more time than the standard theme development project schedule allows.
- A UWS-developed design theme project was terminated as a result of delays, special requests, and/or other circumstances driven from the theme owner, school, college or unit.
The school, college, or unit is responsible for funding the project. All costs will be established and approved before initiating the project.
