Census date is the 12th day of the spring and fall semesters and the 8th day of the summer term. These rosters will be produced immediately following these dates.
Students must file an application for a diploma with their college at the beginning of the semester they plan to graduate. Details regarding diplomas will be sent to the student after their name has been submitted to the Office of the Registrar by the college. Diplomas take approximately three months after the end of the semester to be printed.
Students needing copies of transcripts submitted to us from other institutions for admissions purposes can use the same request procedure as used to request CU transcripts. The copy provided will be unofficial and can be mailed or held for pickup in the Student Service Center.
The Family Educational Rights and Privacy Act (FERPA) prohibits the release of any information about a student, except information classified as directory information to any person outside the university community or to any university personnel without a legitimate educational reason to know.
Some students have requested that even directory information not be released about them. This will appear on the Web student record as "Information Release Restrictions: Withholding of information as allowed under FERPA."

The Health Insurance Portability and Accountability Act of 1996 requires that we establish new policies and procedures to ensure patient confidentiality and the security of patient information. Preparing for HIPAA will benefit both you as individual employees as well as the institution's compliance with federal regulations.
HIPAA will impact the Anschutz Medical Campus in various ways. Patient records (including shadow records), human subjects research records and marketing demographics that contain health information are a few examples of the ways in which we will fall under HIPAA’s regulation. Responsibility for HIPAA compliance is being coordinated by the Office of Regulatory Compliance under the direction of Assistant Vice Chancellor of Regulatory Compliance Angela R. Charboneau Wishon.

As we strive to be an inclusive community, CU is rolling out a series of enhancements that will allow students to identify their preferred name, gender identity and/or sexual orientation if they choose.

Official records and accounts must display a student's primary (legal) name. However, students may choose to set a preferred first and/or middle name in their self-service portal that will display in CU-approved university systems and records.

CU students have the option of identifying their pronouns in their self-service portal. When provided, it's important for faculty and staff to know and use a student's identified pronouns rather than make an assumption based on the student's name or appearance.
Asking for and correctly using someone's pronouns shows your acknowledgment and respect for their gender identity.
Student-identified pronouns are available to authorized faculty and staff members in Campus Solutions in the following areas:
- Admin Class Rosters – Curriculum Management > Class Roster > Class Roster
- Admin Grade Rosters – Curriculum Management > Grading > Grade Roster
- Faculty Center Class and Grade rosters – Accessible from UCDAccess under Teaching Tools via the Go to Faculty Center link
- Advisee Roster – Self Service > Advisor Center > My Advisees
If you don't have access to this information, it is appropriate to ask the student what pronouns they use.
If a student has provided their pronoun information to the university and you or another faculty or staff member forgets to use it, simply apologize and remember to use their correct pronouns moving forward. Encourage others to do the same (e.g., in class, in student groups).
Gender Identity & Sexual Orientation
On or around Aug. 30, 2018, CU students will have the option to identify their gender identity (which may or may not match their sex assigned at birth) and their sexual orientation in their self-service portal. By understanding our student population, we can better promote and foster an environment that helps all students feel comfortable and succeed.
While sex (at birth) is required for compliance with select business processes, providing gender identity and sexual orientation information is always optional for students. Students may enter, edit or remove this data at any time through the student portal. If students choose to provide this information, only faculty and staff with both a legitimate educational interest and provisioning approval at the appropriate security level
may view it.

Registration is one of the primary functions coordinated by this office. Registration begins several months in advance of the first day of classes. Summer and fall semester registration begins in early April. Registration for spring semester begins in mid-November.
Students are sent an e-mail "invitation to register" that indicates the first date and time when they can use UCDAccess. These time assignments are based on credit hours completed and are in progress with graduate students receiving the earliest assignments. Time assignments are used to control registration during the first 17 days. Time assignment checking is then turned off and registration continues on a first-come, first-served basis through census date, the drop/add deadline. Students must confirm their registration by making payment arrangements by the published deadlines with the Bursar or be dropped from their classes.
The vast majority of registrations are done through the UCDAccess web registration system. Some registrations or adjustments to registrations must be completed on paper with the appropriate signatures. Schedule adjustment forms are used for credit overload, pass/fail or no-credit options, closed classes and adding/dropping classes after the deadline. Special processing forms are used for practicums, independent study, thesis hours, special studies and variable credit. Students are required to complete a contract and have the instructor and dean's signature. Both forms are available at the Student Service Center in the North Classroom Building.
Concurrent/interinstitutional registration: On a space-available basis, students registered in degree programs are eligible to register for classes at another CU campus (concurrent) or at participating community colleges (interinstitutional - undergraduate only). Both types of registration are assessed UC Denver tuition. See the schedule of courses for deadlines and additional information.
Students can obtain a copy of their individual class schedule using UCDAccess. Students are required to submit a copy of their class schedule or tuition bill to obtain a student ID card. Faculty have access to this information via the Student Information System.
Service Center personnel are cross trained so they can assist students with most admission, registration, billing, and financial aid questions/problems in a central location. Students can obtain and return application materials, registration forms, financial aid materials, etc.; pick up scholarship, grant, and loan disbursements; and pay tuition and fees at the Service Center. The UC Denver Catalog and Schedule of Courses are also available. The Center is located in North Classroom, Room 1003.

The National Student Loan Clearinghouse provides enrollment status information to guaranty agencies, lenders and holders. Tapes are sent to the clearinghouse as of the first day of classes, census date, after the final deadline to withdraw (10th week) and after the end of the term. Students who receive loan deferment forms from their lenders, or those in need of enrollment verification for other purposes can submit their forms or requests at the Student Service Center in the North Classroom. Most requests can be processed within 2-3 working days.
